We are looking for a Document Controller who effectively controls the issue, receipt, storage and retrieval of project documents and drawings through the development, and implementation of the project Electronic Document Management Systems (EDMS) and related processes (storage systems, databases, AutoCAD, and SharePoint Document management systems).

The role is responsible for ensuring all protocols established for Document Control are adhered to, so ultimately there is a single repository and a reliable source of data for all project stakeholders in accordance with our Document Control standards and requirements. This position is based in Surrey, BC (on site).

Responsibilities:

  • Responsible for receiving, distributing, filing, and monitoring drawings and documentation on a project.
  • Receive, log, track, and monitor engineering generated and supplier drawings and documentation in the FEI Electronic Data Management System (SharePoint).
  • Maintain drawing files, archives, and electronic files in project databases. Liaise with Engineering Drafting Work Leader to ensure Drawings adhere to FEI Engineering Standards.
  • Handle, distribute and complete incoming communications including electronic transmittals.
  • Respond to internal and external drawing and document requests.
  • File and retrieve documents/drawings and originals necessary to facilitate the control of project documents.
  • Ensuring accurate metadata is used to maintain the FEI Electronic Data Management System (MDR on SharePoint project site).
  • Generate transmittals as required.
  • Assist in the turnover of drawings and documents at job completion either hard copy or electronically.
  • Responsible for compliance per Major Capital Projects Document Control standards and project specific Document Control Procedures.

Who We Are Looking For:

  • 2-6 years of experience working with Electronic Document Management Systems (EDMS)
    such as Aconex, On Track, SharePoint, Live link etc.
  • Exposure to filing structures, EDMS structures, possibly internet-based project collaboration systems (SharePoint), relational databases and multiple complex major projects.
  • Exposure to and basic level knowledge of Engineering, Procurement, Construction, Project Management and Project Control terminology.
  • Computer skill level; advanced knowledge of Windows Explorer directory structures,
    Microsoft Office applications (Word, Excel) or equivalent database knowledge is essential.
  • Fully competent in Electronic Document Management Systems (EDMS) and Document Management work processes.
  • Ensures compliance with all relevant Health & Safety, Quality Assurance & Quality Control (QA/QC) and Environmental Management policies and procedures.
  • High degree of initiative and independent judgment.
  • Strong analytical and problem-solving abilities.
  • Ability to organize work, engage in a variety of tasks simultaneously and consistently meet deadlines.
  • Good business acumen, personal ethics, and integrity above reproach.
  • Demonstrated conflict resolution and negotiation skills.
  • Demonstrated ability to manage multiple competing priorities and deadlines.
  • Demonstrated ability to multitask, adapt to and operate in a fast-paced, changing environment.
